This policy explains what personal data we process on alveni.ai, why, and what rights you have. It covers this website only. Data we process on behalf of our hotel customers is governed by the data processing agreement with that customer.

What we process

When you simply visit the site

Our host logs technically necessary data: IP address, time of request, page requested, volume of data transferred, browser and operating system details, and the referring page. We need this to deliver the site and keep it secure. We do not combine it with other data.

When you contact us

Our forms collect your name, email address, company and, where given, telephone number. Downloading our report also records whether you agreed to receive further information. We use this to answer your enquiry, deliver the content you asked for and contact you about doing business together.

When you call our demo line

+49 89 628 27772 reaches a demonstration of our voice AI. Your call is answered and processed by an AI system so that it can respond. This produces call data, in particular your number, the time and length of the call, and the content of the conversation as audio and as a transcript. The greeting tells you at the outset that you are speaking to an AI. Please do not call if you would rather not, and do not disclose special categories of personal data on the line.

Cookies, trackers and your consent

The website itself sets no analytics or advertising cookies. Your choice in the cookie banner is stored only in your browser's local storage; nothing is transmitted to third parties.

Google Analytics and Ahrefs Analytics load only once you agree. If you decline, neither is loaded. You can change your decision at any time using the link in the banner or by clearing this site's data in your browser.

Retention

  • Server logs: normally 30 days.
  • Form enquiries: until your enquiry is resolved, and thereafter for as long as we need them for business development, at most 24 months after the last contact.
  • Newsletter: until you withdraw your consent.
  • Demo calls: audio and transcript are deleted once the purpose of the demonstration is fulfilled, at the latest after 90 days.
  • Data we are legally required to keep is retained until the relevant period expires and blocked for other purposes.

Transfers outside the EU

Some of the providers listed above process data outside the EU and EEA, in particular in the United States and Singapore. Where that happens we rely on the European Commission's standard contractual clauses together with additional safeguards, or on your explicit consent. A level of protection fully equivalent to the European one cannot be guaranteed in every case.

Your rights

You have the right to access the data we hold about you, to have inaccurate data corrected, to erasure, to restriction of processing, to data portability, and to object to processing we base on a legitimate interest. You may withdraw any consent at any time with effect for the future.

You may object to the use of your data for direct marketing at any time and without giving reasons. Write to privacy [at] alveni [dot] ai. We respond within one month.

You may also complain to a supervisory authority — in Switzerland the Federal Data Protection and Information Commissioner (FDPIC), in the EU the authority for your country of residence.

Additional information for users in Switzerland

Users in Switzerland are additionally covered by the Swiss Federal Act on Data Protection (FADP). It gives you in particular the right to information, to correction of inaccurate data, to receive and transfer your data, and to object to processing and request erasure. Where the FADP and the GDPR differ, the FADP applies to users in Switzerland.

Security

The site is served over HTTPS only. Access to form data is limited to the people who need it to handle your enquiry. Processing carried out on behalf of our hotel customers is additionally governed by the technical and organisational measures set out in the relevant data processing agreement.

Changes to this policy

We update this policy when our processing or the law changes. The version published on this page is the one that applies. If a change affects processing based on your consent, we will ask for your consent again.

Definitions

  • Personal data: any information relating to an identified or identifiable natural person.
  • Processing: any operation performed on personal data, from collection through storage to deletion.
  • Controller: the body that decides the purposes and means of processing — here, Alveni AG.
  • Processor: a provider that processes data on our behalf and on our instructions.
  • Tracker: any technique that allows users to be recognised, such as cookies, web beacons or embedded scripts.
